Missed-Call Calculator

What are missed calls worth to your business?

The most useful number isn't an industry average. It's your own: unanswered real opportunities × how often you usually book them × your average first job. Enter your numbers below. Everything runs in your browser.

Run your numbers

Start with last month's call log if you have it. If not, a rough guess is fine. You can change every assumption.

Example values. Replace them with yours.

All calls to your main business line. Check your phone system's call log.

Including after-hours calls and calls sent to voicemail.

Leave out spam, vendors and existing-customer check-ins.

When you do reach a qualified caller, how often does it become a job?

The typical ticket for the first visit, not lifetime value.

Your estimate will appear here.

This is a scenario, not a forecast. It uses only the numbers you entered and recovery rates you can change. It doesn't account for seasonality, how quickly callers book elsewhere, call quality, or your close rate on recovered callers, and gross margin is your estimate. Real results depend on your market, your team and how follow-up is set up. Versafield doesn't guarantee revenue or job counts. Your numbers stay in your browser.

How this is calculated

How this estimate is calculated

  • Missed calls

Calls per month × the share that go unanswered.

  • Real opportunities

Missed calls × the share that were genuine new-job inquiries. Spam, vendors and existing-customer check-ins are left out.

  • Value of missed opportunities

Real opportunities × your usual booking rate × your average first-job revenue. That's what those callers might have been worth if every one had been reached the way your best calls are.

  • What faster follow-up might recover

We don't assume you'd win them all back. The conservative, expected and upside scenarios apply a recovery rate you can change: by default 10%, 20% and 30% of the jobs you'd normally have booked.

  • Gross profit and program cost

Optionally, apply your gross margin and a monthly program cost to see the scenario after costs. Program cost is compared with gross profit, not revenue. If the result is negative at your numbers, the calculator says so.

Why response time matters (and what the research doesn't say)

Research shows that the chance of reaching and qualifying a web lead declines sharply as response time increases. Versafield helps your team respond while the customer is still looking.

What the research doesn't say

  • It didn't measure closed jobs

That study looked at web leads at six companies and explicitly excluded close rates. That's why this calculator uses your booking rate instead of a borrowed multiplier.

  • Your call log is the real answer

A 30-day look at answered vs. unanswered calls, after-hours calls, repeat callers and callback times tells you more than any calculator. It's one of the first things we look at on a fit call.

What recovering a missed call looks like

  1. Automation

    Missed call detected

Your phone system flags an unanswered or after-hours call.

  2. Automation

    Text sent within moments

A text from your business number acknowledges the call and offers a way to book, with opt-out language.

  3. AI

    Reply understood (optional)

If the customer replies, AI can collect the job type, address and urgency using your approved questions.

  4. Automation

    Logged and assigned

Contact and summary go into your CRM, and the right person is alerted.

  5. Human

    A person takes over

Urgent, unusual or uncertain requests go to your team. No prices, diagnoses or arrival promises are automated.

Illustrative workflow. The actual steps depend on your phone system, CRM and booking rules. See how missed-call text-back works, or how an AI receptionist can have calls answered in the first place.

Calculator questions

Is this a revenue forecast?

No. It's a scenario built only from the numbers you enter and recovery rates you can change. It doesn't know your market, seasonality or how well recovered callers convert. Treat it as a reason to check your call log, not a promise.

Where do I find my missed-call rate?

Most phone systems and VoIP providers show answered and unanswered calls in a call log or report. Look at the last 30 days, and count after-hours calls separately if you can.

Why is the default recovery rate only 20%?

Some callers will have already booked someone else, and some weren't a fit. We'd rather start low and let you raise it than inflate the result. Change it if your own data says otherwise.

Do you store the numbers I enter?

No. The calculation runs in your browser and the numbers aren't sent to us. We only record that a calculation was completed, along with a rough size band, so we know the tool is useful.

What does it cost to fix missed calls?

The Receptionist answers every call and has missed-call text-back built in. It's a flat monthly rate, from $950/mo, plus a one-time setup fee quoted after your fit call. See the pricing page. If you're weighing who should answer the phone, compare an AI receptionist and an answering service.

Can I use this with my team or clients?

Yes. Link to this page. If you'd like a version for a trade group or supplier newsletter, get in touch.

Want the real number instead of an estimate?

Book a 30-minute fit call. We look at where your time actually goes and which hats are heaviest. If an AI employee isn't the fix, we'll tell you.
